Posting consistently on social media is one of the highest-impact marketing activities for any business, yet it is also one of the most time-consuming. In this tutorial you will set up Vista Social from scratch, build a content calendar, use the AI caption writer, batch-create an entire month of posts, configure an approval workflow for your team, and monitor engagement from the unified inbox. By the end of the hour, you will have 30 days of content queued and ready to publish.
Step 1 — Create Your Vista Social Account
Head to Vista Social and sign up. The free plan supports up to 3 social profiles and basic scheduling, which is enough to follow this tutorial. For agencies or businesses managing multiple brands, the Pro plan unlocks unlimited profiles, the AI writer, and advanced analytics.
After creating your account, the onboarding wizard asks you to connect social profiles. Click Add Profile and authorise your accounts one by one. Vista Social supports Instagram, Facebook, X (Twitter), LinkedIn, TikTok, Pinterest, YouTube, and Google Business Profile. Each connection requires standard OAuth authorisation through the respective platform.
A practical tip: connect all the platforms you plan to post on, even if you are not active on all of them yet. Having them linked means you can cross-post content effortlessly later. You can always skip a platform when scheduling individual posts.
Once your profiles are connected, Vista Social pulls in your recent posts and engagement metrics. Take a minute to review the dashboard overview: followers by platform, engagement trends, and best-performing content. This baseline data will inform the content strategy you build in the next steps.
Step 2 — Set Up Your Content Calendar
Click Publishing > Calendar in the left sidebar. You will see a month-view calendar that is currently empty. Before filling it with posts, let us set up some organisational structure.
First, create Content Categories by clicking the gear icon on the calendar page. Typical categories for a business might include:
- Educational: Tips, how-to threads, industry insights.
- Promotional: Product launches, sales, feature spotlights.
- Behind the Scenes: Team photos, process breakdowns, office culture.
- User Generated: Customer testimonials, reposts, case studies.
- Engagement: Polls, questions, memes, trending topics.
Each category gets a colour label that shows up on the calendar, giving you a visual overview of content mix. A balanced calendar should have a healthy spread of colours rather than one dominant type.
Next, set your Publishing Times. Go to Settings > Publishing Preferences and configure your default posting schedule for each platform. Vista Social can auto-suggest optimal times based on your audience activity data. For a starting framework, set two posts per day for X, one per day for Instagram and LinkedIn, and three per week for TikTok. You can refine these frequencies later based on performance data.
Step 3 — Use the AI Caption Writer
Navigate to Publishing > New Post. You will see a compose window with a text area, media upload section, and platform selector. Click the AI Assistant icon (usually a sparkle or magic wand) next to the text area.
The AI caption writer asks for a few inputs:
- Topic or keyword: What is the post about? For example: “spring sale on our online course.”
- Tone: Professional, casual, witty, inspirational, or educational.
- Platform: The AI adjusts length and style. LinkedIn captions are longer and more professional; X posts are concise and punchy; Instagram captions balance personality with hashtags.
- Call to action: What should the reader do? Visit a link, comment, share, or DM.
Click Generate and the AI produces three caption variations. Each one is crafted with platform-appropriate length, relevant hashtags, and your chosen CTA. Review them, pick the best one (or mix elements from multiple options), and paste it into the compose window.
The AI also suggests relevant hashtags ranked by popularity and relevance. You can accept the suggestions as-is or edit them. For Instagram, the sweet spot is 8 to 15 hashtags mixing popular, niche, and branded tags. For LinkedIn, two to five hashtags is plenty.
Step 4 — Batch-Create 30 Posts
Here is where the real time-saving happens. Instead of creating posts one by one, Vista Social offers a Bulk Composer. Go to Publishing > Bulk Compose.
You have two approaches:
Approach A: CSV Upload. Download Vista Social's CSV template, fill in columns for Date, Time, Caption, Media URL, Platforms, and Category. You can prepare this spreadsheet in advance (and even use PopAI to help generate the captions). Upload the CSV and Vista Social creates all 30 posts at once.
Approach B: AI Batch Generation. Click AI Batch Create, enter your brand description and a list of 30 topics (one per line), select your platforms and tone, and let the AI generate a full month of captions. This takes about 30 seconds. Review each caption in the queue, make edits where needed, and approve them.
Whichever approach you choose, the result is 30 draft posts sitting in your queue. Next, assign them to calendar slots. Click Auto-Schedule and Vista Social distributes the posts across your configured publishing times, respecting the daily frequency limits you set in Step 2. The calendar view now shows a full month of scheduled content, colour-coded by category.
Review the calendar for balance. If you see too many promotional posts in one week or a gap over a weekend, drag and drop posts to rearrange them. This visual planning view is one of Vista Social's strongest features and makes it easy to spot issues before content goes live.
Step 5 — Set Up an Approval Workflow
If you work with a team, client approval, or a brand manager, Vista Social's approval workflow prevents unapproved content from publishing. Go to Settings > Approval Workflow and enable it.
Configure the workflow:
- Roles: Assign team members as Creator (can draft posts), Approver (can approve or reject), or Admin (full access).
- Rules: Require approval for all posts, or only for specific platforms or categories. For example, you might require approval for LinkedIn (professional tone matters) but allow auto-publish for X (where speed and volume are key).
- Notifications: Approvers receive email or in-app notifications when new posts need review. They can approve, reject with comments, or suggest edits directly in the app.
Once enabled, any post created by a Creator goes into a Pending Approval state. Approvers see a dedicated queue and can batch-approve multiple posts at once. Rejected posts return to the Creator with feedback, keeping the revision loop tight and transparent.
Even if you are a solo user, the approval workflow can serve as a “cooling off” buffer. Set yourself as both Creator and Approver, and use the approval step as a final review before anything goes live. It is a simple way to catch typos or last-minute second thoughts.
Step 6 — Monitor and Reply From the Unified Inbox
Content creation is only half the equation; engagement is the other half. Click Engagement > Inbox to open Vista Social's unified inbox. This single view aggregates comments, DMs, mentions, and reviews from every connected platform.
The inbox supports several productivity features:
- AI-suggested replies: For common questions (pricing, hours, shipping), the AI drafts a reply you can approve and send with one click.
- Labels and assignments: Tag conversations as Question, Complaint, Praise, or Lead. Assign them to team members for follow-up.
- Bulk actions: Select multiple comments and mark them as read, archive them, or reply with a template.
- Sentiment indicators: Vista Social uses AI to flag negative comments so you can prioritise them and respond quickly, turning potential complaints into positive outcomes.
Set a daily habit of checking the unified inbox once in the morning and once in the afternoon. Responding to comments within a few hours signals to the algorithms that your content sparks conversation, which can boost organic reach. The AI-suggested replies make this fast enough that it rarely takes more than 10 minutes per session.
Finally, check the Analytics tab weekly. Vista Social tracks follower growth, engagement rate, best-performing posts, and audience demographics across all platforms. Use these insights to refine your content categories and publishing times for the following month.
